1. GENERAL PROVISIONS
1.1. What These Terms Are
These Terms of Use govern access to the VetAI Diagnostics web service, its functionality, user accounts, AI interpretations, reports, materials, interface, knowledge base, and other related services.
By using VetAI Diagnostics, the user confirms that they:
- have read these Terms;
- understand their content;
- agree to comply with these Terms;
- are entitled to use the service on their own behalf or on behalf of a veterinary clinic;
- understand that the service is a supplementary informational tool and does not replace the professional clinical judgment of a veterinarian.
1.2. Who Provides the Service

In the event of incorporation of a legal entity or change of legal form, these Terms may be updated, and the corresponding legal entity may become the party providing the service.
1.3. Key Definitions
In these Terms:
- VetAI Diagnostics, VetAI, the Service, we, us, our — the VetAI Diagnostics web service and the person providing it.
- User — a veterinarian, veterinary clinic employee, administrator, or any other person who has created an account or uses the service.
- Clinic — a veterinary clinic, veterinary practice, sole trader, or other organization that uses the service in its professional activities.
- Animal Owner — a natural person whose data may be entered into the service by a user in connection with the provision of veterinary services.
- Patient — an animal in respect of which laboratory, clinical, or other data are entered.
- AI Interpretation — a textual or structured conclusion generated by the service using artificial intelligence, rules, reference values, and/or an internal knowledge base.
- OCR — automatic recognition of text or numerical values from a photo, scan, or PDF of a laboratory form.
- User Materials — data, files, laboratory results, clinical notes, information about animal owners, patients, and other materials that the user enters or uploads to the service.
- Report — a document or structured output generated by the service based on user data.
2. DESCRIPTION OF THE SERVICE
2.1. Purpose of the Service
VetAI Diagnostics is a software service for veterinarians and veterinary clinics that helps process, structure, and interpret the results of laboratory tests in animals.
The service may use:
- OCR recognition of laboratory forms;
- deterministic clinical rules;
- reference values;
- age, species, sex, and breed parameters where available;
- artificial intelligence;
- an internal knowledge base;
- RAG / retrieval-augmented generation, if this feature is activated.
2.2. What the Service Can Do
The service may provide the following features:
- creation of user accounts;
- creation of clinic profiles;
- creation of animal owner records;
- creation of patient animal records;
- uploading of laboratory forms;
- manual entry of laboratory parameters;
- OCR recognition;
- normalization of parameters;
- comparison with reference values;
- generation of a preliminary interpretation;
- generation of a list of possible differential diagnoses;
- generation of possible next diagnostic steps;
- creation of reports;
- storage of case history;
- technical tracking of service usage.
2.3. Limitations of the Service
VetAI Diagnostics is not:
- a veterinary clinic;
- a subject of veterinary practice;
- a medical or veterinary device, unless otherwise expressly determined by law;
- a means of establishing a final diagnosis;
- a means of prescribing treatment;
- a substitute for a veterinarian;
- a service for independent use by animal owners without the involvement of a veterinary professional.
3. WHO MAY USE THE SERVICE
3.1. Professional Use
VetAI Diagnostics is intended for professional use by:
- veterinarians;
- veterinary clinics;
- veterinary laboratories;
- veterinary clinic staff under the responsibility of a veterinarian;
- other professionals who are authorized to work with veterinary data.
3.2. Age Restriction
Only persons who have reached the age of 18 may use the service.
3.3. Authorization Responsibility
If a user creates an account or uses the service on behalf of a clinic, they confirm that they have the appropriate authority to act on behalf of or in the interests of that clinic.
3.4. Animal Owners
The service is not intended for direct use by animal owners for the purpose of independent diagnosis, treatment, or clinical decision-making.
4. USER ACCOUNT
4.1. Registration
To use the service, a user may create an account. During registration, the user is required to provide accurate, current, and complete information.
4.2. Account Security
The user is responsible for:
- keeping their login credentials and password confidential;
- all actions performed from their account;
- preventing unauthorized access by third parties;
- promptly notifying VetAI Diagnostics of any suspected unauthorized access.
4.3. Prohibition on Transferring Access
The user is not permitted to:
- transfer their account to another person;
- use another user's account;
- create accounts with false information;
- circumvent authorization mechanisms;
- grant access to persons who are not authorized to work with the relevant data.
4.4. User Roles
The service may have different user roles, including:
- clinic administrator;
- veterinarian;
- clinic staff;
- technical administrator;
- other roles, if added in the future.
Access to data may depend on the user's role and their association with a specific clinic.
5. VETERINARY AND AI DISCLAIMER
5.1. The Service Does Not Diagnose
VetAI Diagnostics does not establish final diagnoses. AI interpretations, differential diagnoses, comments, alerts, conclusions, and recommendations generated by the service are supplementary information only, to be reviewed by a veterinarian.
5.2. The Service Does Not Prescribe Treatment
VetAI Diagnostics does not prescribe treatment, does not determine drug dosages, does not establish treatment protocols, and does not make decisions regarding medical or veterinary interventions.
5.3. Veterinarian's Responsibility
The user confirms that:
- all clinical decisions are made by the user independently;
- an AI conclusion is not a substitute for a clinical examination;
- an AI conclusion is not a substitute for a patient history;
- an AI conclusion is not a substitute for additional investigations;
- an AI conclusion is not a substitute for consultation with a specialist;
- all results produced by the service must be verified before use in clinical practice.
5.4. Possibility of AI Errors
The user understands that artificial intelligence may make errors. Possible errors include:
- incorrect OCR recognition;
- incorrect identification of units of measurement;
- incorrect interpretation of a laboratory parameter;
- incomplete consideration of clinical context;
- omission of important differential diagnoses;
- generation of irrelevant differential diagnoses;
- errors due to low quality of the uploaded file;
- errors due to incomplete or incorrect data;
- errors due to rare or atypical clinical cases;
- so-called AI hallucinations.
5.5. Duty to Verify
The user is obligated to verify:
- whether the parameters have been correctly recognized;
- whether the units of measurement have been correctly identified;
- whether the animal species has been correctly entered;
- whether the age, sex, breed, and other parameters have been correctly specified;
- whether the interpretation corresponds to the clinical presentation;
- whether there are any contradictions between the AI conclusion and the clinical data.
5.6. Final Clinical Decision
The final clinical decision is always made by the veterinarian. VetAI Diagnostics is not responsible for clinical decisions made by the user, including:
- establishing a diagnosis;
- prescribing treatment;
- declining treatment;
- selecting diagnostic tests;
- interpreting results;
- hospitalization or refusal of hospitalization;
- prognosis of disease progression;
- decisions regarding euthanasia;
- any other veterinary actions.
6. DATA ENTERED BY THE USER
6.1. Responsibility for Data
The user is responsible for the accuracy, completeness, lawfulness, and relevance of the data they enter or upload to the service.
6.2. Animal Owner Data
If the user enters personal data of an animal owner, they confirm that they have an appropriate legal basis for such processing. Such a basis may include:
- the animal owner's consent;
- a contract between the clinic and the animal owner;
- the legitimate interest of the clinic or the veterinarian;
- another legal basis provided by law.
6.3. Prohibition on Entering Unnecessary Data
The user must not enter personal or sensitive data about individuals into the service that is not required for veterinary work. In particular, the following must not be entered:
- passport details;
- taxpayer identification numbers;
- bank card details;
- information about a person's health;
- political views;
- religious beliefs;
- other sensitive personal data that is not necessary for working with the veterinary case.
6.4. Uploading Laboratory Forms
The user understands that laboratory forms may contain personal data of the animal owner. Before uploading a file, the user should, where possible, ensure that the file does not contain unnecessary personal data not required for interpretation of the test results. If the form contains a name, phone number, address, or other identifying information about the animal owner, such data may be technically processed during OCR recognition.
6.5. Right to Process User Materials
The user grants VetAI Diagnostics the right to process user materials to the extent necessary for:
- providing the service;
- OCR recognition;
- AI interpretation;
- storing case history;
- generating reports;
- technical support;
- security;
- compliance with these Terms and the Privacy Policy.
This right does not constitute a transfer of ownership of user materials.
7. PERSONAL DATA AND PRIVACY
7.1. Privacy Policy
The processing of personal data is governed by the separate VetAI Diagnostics Privacy Policy. The user is required to review the Privacy Policy before using the service.
7.2. Controller / Processor Model
In a typical B2B model:
- the clinic is the controller of personal data of animal owners;
- VetAI Diagnostics is the processor of such data;
- VetAI Diagnostics is the controller of personal data of the service users themselves.
7.3. DPA with Clinics
A separate data processing agreement — DPA — may be concluded with clinics. If there is a conflict between these Terms and the DPA regarding the processing of personal data, the DPA shall prevail to the extent of such conflict.
7.4. Confidentiality
VetAI Diagnostics takes reasonable technical and organizational measures to protect data. The user is also required to maintain confidentiality with respect to data they access through the service.
8. ACCEPTABLE USE POLICY
8.1. Permitted Use
The user may use the service only:
- for lawful purposes;
- in professional veterinary activities;
- in accordance with these Terms;
- in accordance with the Privacy Policy;
- in accordance with the rights of third parties;
- in accordance with applicable legal requirements.
8.2. Prohibited Use
The user is prohibited from:
- using the service for unlawful activities;
- using the service for independent treatment of animals without a veterinarian;
- presenting an AI conclusion as a final diagnosis;
- concealing from a client the fact that digital tools are being used, where the law requires such disclosure;
- uploading malicious files;
- attempting to gain unauthorized access to other users' data;
- circumventing the technical restrictions of the service;
- overloading the service with automated requests;
- using bots or scripts without authorization;
- copying, decompiling, reverse engineering, or reproducing the service code;
- attempting to access the API, database, or internal infrastructure without authorization;
- using the service to train competing models or create a similar product without the written consent of VetAI Diagnostics;
- selling or transferring access to the service to third parties;
- infringing the intellectual property rights of VetAI Diagnostics or third parties;
- entering false or fraudulent data;
- using the service in a manner that may harm VetAI Diagnostics, other users, clinics, or animal owners.
8.3. Consequences of Violations
In the event of a violation of these Terms, VetAI Diagnostics may:
- warn the user;
- temporarily restrict access;
- block the account;
- delete or restrict access to certain materials;
- discontinue the provision of the service;
- contact the competent authorities if the violation shows signs of unlawful activity;
- claim compensation for damages if any have occurred.
9. AI CONCLUSIONS, REPORTS, AND CONTENT
9.1. Nature of AI Conclusions
AI conclusions are informational materials. They are not:
- a veterinary diagnosis;
- a medical opinion;
- a prescription for treatment;
- instructions for action;
- a guarantee of correctness;
- a substitute for professional judgment.
9.2. Use of Reports
The user may use VetAI Diagnostics reports within the scope of their professional activities. If the user shares a report with an animal owner or includes it in a medical record, the user is responsible for explaining the nature of such a report as supplementary AI-generated material.
9.3. Disclaimer in Reports
VetAI Diagnostics may include a disclaimer in AI conclusions and PDF reports, such as: "This report was generated by VetAI Diagnostics. It does not constitute a final diagnosis or a prescription for treatment. It is supplementary information for the veterinarian. All clinical decisions are made by a qualified veterinarian." The user may not remove or modify such a disclaimer if the report is shared with third parties.
9.4. No Guarantee of Completeness
VetAI Diagnostics does not guarantee that an AI conclusion will:
- account for all possible diagnoses;
- correctly identify all pathologies;
- be complete;
- be free of errors;
- be suitable for a specific clinical case.
10. INTELLECTUAL PROPERTY
10.1. Rights of VetAI Diagnostics
All rights to the service, including but not limited to:
- source code;
- architecture;
- design;
- interface;
- clinical rules database;
- internal knowledge base;
- algorithms;
- prompts;
- report structure;
- trade names;
- logos;
- texts;
- documentation;
- data processing methodology;
belong to VetAI Diagnostics or the respective rights holders.
10.2. Limited User License
Subject to compliance with these Terms, the user receives a limited, non-exclusive, non-transferable right to access the service for professional use. This license does not constitute a transfer of intellectual property rights in the service to the user.
10.3. User Materials
The user retains rights to the materials they enter or upload to the service, where such rights belong to the user. The user grants VetAI Diagnostics the right to process such materials to the extent necessary for the operation of the service.
10.4. AI Reports
Unless otherwise provided by a separate agreement, the user may use AI reports in their professional veterinary activities. VetAI Diagnostics retains rights to the structure, templates, format, methodology, and technical logic underlying the generation of such reports.
10.5. Prohibition on Copying the Product
The user may not use the service, its interface, report structure, prompts, rules database, or other elements to create a competing product without the written consent of VetAI Diagnostics.
11. THIRD-PARTY SERVICES
11.1. Infrastructure Providers
Third-party services may be used to operate VetAI Diagnostics, including:
- Supabase;
- Vercel;
- Google Cloud Vertex AI;
- Google Gemini;
- Google OAuth;
- other providers, if added in the future.
11.2. Third-Party Terms
The use of certain features may be subject to the terms of third parties. For example, if a user signs in via Google OAuth, part of the authorization process is governed by Google's terms.
11.3. No Control Over Third Parties
VetAI Diagnostics does not control all aspects of third-party services and is not responsible for their actions or failures, unless otherwise required by law or contract.
12. PAYMENT AND PRICING
12.1. Current or Trial Stage
During the MVP or pilot stage, the service may be provided free of charge, under trial access, or on special terms. Free or trial access does not create an obligation to provide the service free of charge in the future.
12.2. Paid Plans
In the future, VetAI Diagnostics may introduce paid pricing plans, including:
- per-study payment;
- monthly subscription;
- plan for individual veterinarians;
- plan for clinics;
- corporate plans;
- other payment models.
12.3. Pricing Changes
VetAI Diagnostics reserves the right to change pricing, payment terms, usage limits, and the set of available features. We will provide advance notice of material changes for paying users where required by law or contract.
12.4. Payment Systems
If online payment is implemented in the service, payments may be processed by third-party payment providers. VetAI Diagnostics does not store full bank card details of users where such data is processed by a payment provider.
12.5. Refunds
Refund policies may be specified separately in the pricing plans, contract, invoice, offer, or other document. If no separate rules are established, refunds are processed in accordance with applicable law and the services actually provided.
13. SERVICE AVAILABILITY
13.1. Service Provided "As Is"
VetAI Diagnostics is provided on an "as is" and "as available" basis. We strive to ensure stable operation of the service but do not guarantee uninterrupted or error-free availability.
13.2. Technical Interruptions
The service may be temporarily unavailable due to:
- scheduled maintenance;
- updates;
- errors;
- failures of third-party providers;
- cyberattacks;
- internet outages;
- force majeure;
- other reasons beyond our control.
13.3. Changes to Functionality
VetAI Diagnostics may modify, add, or remove features of the service. During the MVP stage, functionality may change particularly frequently.
14. MVP, BETA, AND TEST MODE
14.1. Development Status
The user understands that during the MVP or beta testing stage, the service may be incomplete, unstable, or subject to change without prior notice.
14.2. Trial Use
During trial use, the user may gain access to features that are not yet final. Such features may contain errors, limitations, or incomplete logic.
14.3. Feedback
The user may provide ideas, comments, suggestions, or other feedback about the service. If the user provides such feedback, VetAI Diagnostics has the right to use it for product improvement without separate compensation, unless otherwise agreed in writing.
15. SUSPENSION AND TERMINATION OF ACCESS
15.1. User's Right to Discontinue Use
The user may discontinue use of the service at any time.
15.2. VetAI Diagnostics' Right to Restrict Access
VetAI Diagnostics may temporarily or permanently restrict a user's access if:
- the user violates these Terms;
- the user violates the Privacy Policy;
- the user poses a risk to the security of the service;
- the user infringes the rights of others;
- the user uses the service unlawfully;
- the user fails to pay for the service when it is used on a paid basis;
- required by law or a decision of a competent authority.
15.3. Consequences of Termination
Upon termination of access, the user may lose the ability to use the service and view data. Rules regarding the storage, export, or deletion of data are governed by the Privacy Policy, DPA, a separate contract, or applicable law.
16. LIMITATION OF WARRANTIES
16.1. No Medical Warranties
VetAI Diagnostics does not warrant:
- the correctness of clinical interpretation;
- the completeness of the list of differential diagnoses;
- the suitability of a conclusion for a specific clinical case;
- the detection of all pathologies;
- the absence of OCR errors;
- the absence of AI hallucinations;
- that the AI conclusion will meet the user's expectations.
16.2. No Technical Warranties
We do not warrant that the service will:
- always be available;
- operate without errors;
- be compatible with all devices;
- correctly process every file;
- meet all individual user needs.
16.3. Duty of Professional Verification
The user is solely responsible for the professional verification of any results obtained through the service.
17. LIMITATION OF LIABILITY
17.1. General Limitation
To the maximum extent permitted by law, VetAI Diagnostics shall not be liable for any indirect, incidental, special, punitive, or consequential damages, including loss of profit, loss of data, reputational harm, or loss of clients.
17.2. Clinical Consequences
VetAI Diagnostics is not responsible for:
- death of an animal;
- deterioration of an animal's condition;
- incorrect treatment;
- delayed treatment;
- incorrect diagnosis;
- incorrect clinical decision;
- refusal of additional investigations;
- any consequences of using an AI conclusion without appropriate professional verification.
17.3. User Data
VetAI Diagnostics is not responsible for consequences caused by:
- incorrect input data;
- incomplete input data;
- user errors;
- uploading a poor-quality photo or PDF;
- incorrect selection of species, age, breed, or other parameters;
- unlawful entry of personal data;
- transfer of account access to third parties.
17.4. Maximum Liability
If liability of VetAI Diagnostics is established, its maximum amount is limited to the sum actually paid by the user or clinic for use of the service during the 12 months preceding the event giving rise to the claim. If the service was used free of charge, liability is limited to the minimum amount permitted by law.
18. INDEMNIFICATION
The user agrees to indemnify VetAI Diagnostics for any losses, costs, claims, or demands arising from:
- violation of these Terms;
- unlawful entry of personal data;
- infringement of third-party rights;
- use of the service for unintended purposes;
- transfer of account access;
- unlawful use of the service;
- attempted copying or reverse engineering of the service;
- use of an AI conclusion as a final diagnosis without professional verification.
19. CONFIDENTIALITY AND TECHNICAL CONTRACTORS
19.1. Access by Technical Specialists
During the development, MVP, support, or administration stage, engaged developers, technical contractors, or other specialists may have limited access to the technical infrastructure of the service. Such access is granted only to the extent necessary to carry out technical tasks.
19.2. Confidentiality Obligations
Engaged specialists are required to:
- not disclose personal data;
- not use data for their own purposes;
- not copy data unless necessary;
- not transfer data to third parties;
- use access solely for work on VetAI Diagnostics.
19.3. Contractor Agreements
Where possible, relationships with technical contractors are formalized through agreements that may include:
- NDA;
- confidentiality terms;
- rules for accessing personal data;
- assignment of intellectual property rights;
- restrictions on the use of code, data, and business information.
20. FORCE MAJEURE
VetAI Diagnostics shall not be liable for failure to perform or delay in performing its obligations if this is caused by circumstances beyond reasonable control. Such circumstances may include:
- war;
- armed conflict;
- cyberattacks;
- power outages;
- internet outages;
- acts of government authorities;
- natural disasters;
- fires;
- epidemics;
- failures of third-party providers;
- other unforeseeable circumstances.
21. CHANGES TO THE TERMS
21.1. Right to Amend the Terms
VetAI Diagnostics may periodically amend these Terms. Changes may be related to:
- development of the service;
- changes to functionality;
- introduction of paid pricing plans;
- changes to the legal model;
- addition of new providers;
- changes in legislation;
- incorporation of a legal entity or change of legal form.
21.2. Notification of Changes
We may notify users of material changes:
- via the website;
- via the service interface;
- via email;
- by any other available means.
21.3. Acceptance of Changes
Continued use of the service after the updated Terms come into effect constitutes the user's acceptance of such changes, unless otherwise required by law. If the user does not agree with the updated Terms, they must discontinue use of the service.
22. GOVERNING LAW AND DISPUTE RESOLUTION
22.1. Governing Law
These Terms are governed by the laws of Ukraine.
22.2. Pre-litigation Settlement
The parties shall seek to resolve disputes through negotiation. Before initiating legal proceedings, the party with a claim must send a written complaint to the contact email: tech@vetaidiagnostics.pro. The response period for a complaint is up to 30 calendar days, unless a different period is provided by law or contract.
22.3. Judicial Resolution
If a dispute cannot be resolved through negotiation, it shall be referred to the courts of Ukraine in accordance with the laws of Ukraine.
23. ELECTRONIC FORM OF AGREEMENT
23.1. Acceptance of the Terms
The user accepts these Terms by:
- creating an account;
- checking the relevant checkbox;
- clicking the "Register", "Accept", "Continue", or a similar button;
- actual use of the service.
23.2. Electronic Consent
The user agrees that acceptance of these Terms in electronic form has legal effect.
23.3. Logging of Acceptance
VetAI Diagnostics may maintain a technical record of the user's acceptance of these Terms, including:
- user ID;
- date and time of acceptance;
- version of the Terms;
- IP address;
- other technical data.
24. RELATIONSHIP WITH OTHER DOCUMENTS
These Terms should be read together with:
- Privacy Policy;
- Medical Disclaimer / Veterinary AI Disclaimer, if published separately;
- DPA with the clinic, if concluded;
- pricing plans or commercial offer, if the service is used on a paid basis;
- other documents that expressly reference these Terms.
In the event of conflict between documents, priority is determined as follows:
- Individual written contract with the clinic.
- DPA with respect to personal data matters.
- These Terms of Use.
- Privacy Policy with respect to privacy matters.
- Public service descriptions on the website.
